We are seeking a highly organized and motivated Entry-Level Payroll File Clerk to join our dynamic Payroll team. This role is ideal for individuals with strong attention to detail and a desire to grow their career in payroll and human resources. As a Payroll File Clerk, you will be responsible for supporting payroll operations through administrative duties including data entry, document filing, and audit support. Over time, this position is designed to grow into a Payroll Specialist role through hands-on experience, mentorship, and targeted training.

Key Responsibilities:

  • File Management & Recordkeeping
    • Maintain accurate and organized digital and physical employee payroll files.
    • Scan, label, and upload payroll documentation into appropriate systems.
    • Archive older files in compliance with company policy and labor regulations.
  • Data Entry & Processing Support
    • Input payroll-related data such as timesheets, W-4s, direct deposit forms, and tax documentation.
    • Assist with verifying accuracy of payroll documents and flag discrepancies.
  • Audit & Compliance
    • Help prepare documentation for internal and external payroll audits.
    • Ensure all payroll files are maintained in a confidential and secure manner in accordance with data privacy laws.
  • Team Support & Learning
    • Provide administrative support to the payroll team, including calendar scheduling, check distribution, and mailing.
    • Shadow Payroll Specialists and participate in team training sessions to gain exposure to payroll processing tasks.
    • Take part in cross-training initiatives to learn payroll software and reporting systems.

Required Qualifications:

  • High school diploma or equivalent; Associate’s or Bachelor’s degree a plus.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word).
  • Interest in pursuing a career in payroll, accounting, or HR.

Preferred Qualifications:

  • Previous administrative, clerical, or office experience.
  • Exposure to payroll software or HRIS systems (e.g., UKG Ready) is a plus.
  • Demonstrated eagerness to learn and grow professionally.

Growth Opportunity:

This role is structured as an entry-level gateway into payroll operations. With consistent performance, additional responsibilities will be added such as:

  • Processing bi-weekly or monthly payrolls
  • Handling wage garnishments and tax filings
  • Conducting payroll reporting and reconciliations
